Guides
The Documents tab is titled Your Application Preparation. This is where you send evidence, read what the team is doing, and collect drafts they write for you.
At the top of the page, Your next actions lists at most three things waiting on you. Revision requests come first, then other items you still need to send.
Only three are shown so the page does not open with a wall of unfinished work. The rest of the plan is still there. Use View full case plan to open every category.
If nothing is waiting on you, the page says: no upload is waiting on you, and Schengen Partners will continue preparing your package from the evidence already on the case.
Every item shows Provided by: followed by one of these labels:
Employment letters and invitation letters are the usual assisted letters. Cover letters and itineraries are written by the team.
Each card also has a panel titled How Schengen Partners helps. View full guidance opens the rest of that text, including Your part, what you will receive, and possible alternatives.
Each item has Your status and Schengen Partners status. They move independently. You can have finished your side while the team is still reviewing, or the team can be drafting while you still owe other evidence.
The words below are the wording on the Documents page. Who acts next is written under each one.
This item still needs a file from you.
Who acts next: You
The team is waiting for you to send this item, or facts they need to draft it.
Who acts next: You
A questionnaire answer decides whether this item belongs on your case. Until that answer is there, no file is requested.
Who acts next: You
The team is waiting for the same questionnaire answer before treating this item as part of the case.
Who acts next: You
Your file is on the case and waiting for a reviewer.
Who acts next: Schengen Partners
You sent a new file after a revision request. It is waiting for a reviewer.

The team has accepted this file for the application package. That is not a visa decision.
Who acts next: Schengen Partners
The team is writing this item from the facts already on the case.

Who acts next: Nobody
This is not a failed upload. It tells the team that this conventional document does not exist for you — lost, refused, or never issued.
It is different from Not applicable. Not applicable means the item is not part of this case at all, usually because of a questionnaire answer or a decision by the team. I do not have this means the item would apply, but you cannot produce the usual file.
The button is labelled I do not have this. You may add a short note under Tell us why, if you can. Then confirm with Confirm I do not have this. Your status becomes Not available. The team status becomes Guidance being prepared. The team responds with alternatives where they exist.
I need help opens a box labelled What do you need help with? A real description is required — at least 120 characters, and no more than 2,000.
Write what you have tried, what is unclear, and anything specific to your situation. A one-line “help” does not give a reviewer enough to act on. When the text is long enough, send it with Send to the team. That creates a message attached to this document. The reply arrives in Messages.
If a reviewer cannot use the file, your status becomes Revision required. The card shows a Feedback note with the reason. Replace the file from that same item — the next-action line will read Replace followed by the document name.
After you send the new file, your status becomes Replacement uploaded and the team status becomes Waiting to review.
Accepted for preparation means the team is using the file in the package. It is not an embassy decision.
You can send PDF, JPG, JPEG, PNG or DOCX. Each file may be up to 15 MB.
Prefer the matching item in the case plan so the reviewer sees the file in context. There is also a general box labelled Upload other documents for something that has no matching row yet.
Files are private. They are not published on the website. A download uses a short-lived signed link that expires after 120 seconds (two minutes). If a link has expired, use Download again from the same page while you are signed in.
Emails about the case do not attach the files and do not include those download links.
You can also open Your Documents from the dashboard to see every current file across your cases, including after a case is archived.
Below Your next actions is a section titled Your Schengen Partners Service. It lists completed work, work in progress, and planned deliverables such as a professional cover letter, a day-by-day itinerary, an interview-preparation guide, and a final application-package review.
Published drafts also appear under Deliverables, where you can download them.
