The situation most people actually face
Generic Schengen checklists assume a neat life: a salaried job, a thick bank book, a hotel booking, a return ticket. Real applicants are often retired parents, first-time travellers, sponsored guests, or people whose income does not come from one employer.
When the usual paper is not there, two mistakes are common. The first is panic — treating a gap as if the application is already lost. The second is worse: filling the gap with something that is not true. Consulates compare names, dates, stamps and stories. A letter that does not match the rest of the file is easy to see.
Not having it, versus not needing it
These are not the same problem, and they need different next steps.
- Not applicable means this item is not part of your case. A self-funded tourist is not asked for a host invitation. A retired applicant is not asked for an employment letter because they are not employed.
- You do not have it means the item would apply, but the usual file does not exist — lost, never issued, or refused by the issuer. The fact still has to be shown another way.
Mixing those two up produces the wrong work: chasing a document nobody needed, or leaving a hole where the authority still expects an explanation.
What we can do when a document does not exist
What a genuine alternative looks like
One fact, several records. That is the pattern. A period of residence might be shown by a lease, utility bills and a local registration extract together, rather than by a title deed you do not hold. Family relationship might be shown by birth certificates and a consistent travel purpose, not by a letter that invents a job.
The cover letter then has to say the same thing the papers say. Dates, names and places have to agree with the itinerary, insurance and accommodation. That is why the questionnaire on a Schengen Partners case is long: the letter is written from those answers.
Official requirements still belong to the consulate and the visa centre you will use. We explain published rules and help you organise what you actually have. We do not replace the authority’s list with a secret one.
How this works if you already have a case
On Your Application Preparation, the button labelled I do not have this is for the second situation: the usual file is missing. You may add a short note about why. The team status becomes guidance being prepared. That is the start of alternative-evidence work, not a failed upload.
If you have not opened a case yet, start with the preliminary assessment. Send basic facts only. Do not attach passports or bank statements at that stage.

We are not an embassy, consulate, visa application centre, government department or official portal. We are not affiliated with the Government of the Netherlands, the European Union, VFS Global or any other immigration authority. We cannot issue or approve visas.

Legal representation and immigration law
We are not an immigration law firm and do not act as lawyers, legal representatives or regulated immigration advisers. We cannot provide legal representation, conduct an appeal as legal counsel or make an official eligibility determination.

Travel-document and purchasing assistance
Where included in the agreed service, we can prepare a realistic itinerary, help the customer identify a genuine and verifiable temporary reservation or booking hold where permitted, check that travel records match the proposed dates, explain published Schengen insurance requirements, help compare suitable policies, and assist while the customer purchases directly from the selected provider.
Outside our role or control
Flights, accommodation and travel insurance
We are not a travel agency, airline, hotel, accommodation provider or insurer. We do not issue tickets or insurance policies and cannot control availability, prices, refunds or provider terms.

Appointment preparation and guidance
We can identify the appropriate published application channel, guide or assist the customer through the normal booking process where agreed, explain what information should be ready, help avoid preventable booking mistakes, and prepare the document package for the selected appointment.

Application appointments and processing time
We cannot create preferential appointment availability, bypass an official booking system, accelerate government processing or control when appointments are released.

Submission and interview readiness
We can organise the submission file, prepare a final appointment checklist, check that the expected originals and copies are ready, develop likely questions based on the case, and help the applicant practise truthful answers that remain consistent with the written application.

Submission, biometrics and official interview
We cannot replace the applicant where personal attendance is required, provide biometrics, sign declarations for the applicant or answer official interview questions on the applicant’s behalf.
